Society of Nepalese Architects (SONA) in collaboration with BUILDING Energy Efficiency in Nepal (BEEN), a project funded by European Union under the Switch Asia Grant Programm. The project spans four years and aims to promote low-carbon and resource-efficient practices in Nepal's building sector by integrating energy efficiency (EE) and renewable energy (RE) measures into building design and retrofitting. BEEN aligns with the Sustainable Development Goals (SDGs) and focuses on enhancing Building-MSMEs' capacity for EE designs while increasing awareness among Building-MSMEs and end-users to create a market system for EE building design. Additionally, BEEN collaborates with governmental and financial institutions to support EE and RE promotion in the building sector. The Society of Nepalese Architects (SONA) will play a key role in finalizing training packages and conducting training programs for Design & Construction-MSMEs in the targeted project provinces. Interested candidates are requested to apply for the given position. 

Position: Admin and Finance Officer 

Required No: 1

Location: Kathmandu

Terms & Conditions: Full Time (Fixed Term Contract) 

Note: This position is initially for 12 months with possibility of extension.

Required Qualification and Experience:

  • Bachelor’s degree in finance, management or related subject. 

  • Minimum of two years of experience in finance, administration or related field.

  • Strong accounting skills and experience, including management of general ledger, journal entries, payroll, payables and balance sheet.

  • Advanced computer skills in MS Office programs, particularly Excel. 

  • Prior staff supervisory experience and strong organizational skills are desired. 

  • Excellent oral and written English skills. 

  • Experience in managing workshops and events.

  • A problem solving and solution-oriented attitude; be methodical and adaptable.

  • Planning skills and attention to detail. 

  • Ability to occasionally conduct training of staff within the financial management area.

Key Responsibilities

  • Oversee the day-to-day operations and ensure smooth and efficient operations and maintain the work environment and will report to field coordinator.

  • Management of supplies and equipment.

  • Respond to telephone calls, emails, and inquiries and forward them as necessary.

  • Coordinate and manage calendars, schedules, and appointments for coordinator, field coordinator and team members.

  • Arrange travel plans, accommodations, and logistics for employees.

  • Ensure compliance with travel policies and manage travel-related expenses.

  • Organize and manage physical and electronic documents, files, and records.

  • Implement document management systems and procedures.

  • Plan and coordinate with training events, database collection and handling.

  • Handles logistics, invitations, and follow-up tasks related to events.

  • Draft, edit, and proofread correspondence, reports, and other documents.

  • Manage and distribute emails to appropriate recipients.

  • Support the selection process as needed.

  • Ensures physical workspace is properly maintained and promotes productivity.

  • Prepare and analyze financial reports, financial statements, and forecasts.

  • Communicate financial information to field coordinator and or coordinator.

  • Assists in creating budgets and financial forecasts for each training program.

  • Manage accounts payable and receivable processes, invoices, payments, and receipts accurately and timely to ensure accurate and timely payments to all team and vendors.

  • Ensure compliance with financial regulations, accounting standards, and internal policies and as per SONA and BEEN project accounting systems.

  • Support auditing and implement necessary controls.

  • Perform financial analysis to support decision making and strategic planning.

  • Provides insight into financial performance and trends.

  • Manage and monitor the programs cash flow.

  • Expense Management: Manage and track expenses to ensure they are aligned with budget guidelines.

  • Use financial software and systems for recording, reporting, and analysis.
